Understanding Microsoft To Do

Microsoft To Do gives every team member a single, simple list of everything assigned to them -- including Planner tasks. Think of it as your personal "what do I need to do?" checklist.

Access it at to-do.microsoft.com or install the To Do app from the Microsoft Store.

See All Your Assigned Work

Everyone
  1. Open Microsoft To Do (desktop app or to-do.microsoft.com).
  2. Sign in with your work email if prompted.
  3. Click Assigned to me in the left sidebar.
  4. All Planner tasks assigned to you show up here with due dates and priority.
  5. Click any task to see its full details, checklist, and notes.

My Day -- Focus on What Matters Today

My Day is a daily focus list. It resets every day, and you choose what goes on it. Use it to plan your workday.

  1. Click My Day in the left sidebar.
  2. To add a task to My Day, right-click any task from another list (like "Assigned to me") and choose Add to My Day.
  3. Or click the + Add a task button in the My Day view to create a personal task for today.
  4. At the end of the day, anything you didn't complete rolls off My Day (but stays in its original list). Start fresh tomorrow.

Creating Your Own Tasks

Besides Planner assignments, you can create your own personal tasks -- reminders, to-dos, or anything you want to track.

  1. Open Microsoft To Do (desktop app or to-do.microsoft.com).
  2. Click Tasks in the left sidebar (this is your personal task list).
  3. Click + Add a task.
  4. Type the task name and press Enter.
  5. Click the task to add details:
    • Due date -- when it needs to be done
    • Reminder -- get notified at a specific time
    • Notes -- add details or context
    • Steps -- break it into sub-tasks
    • Repeat -- make it recurring (daily, weekly, etc.)

Creating Custom Lists

You can create your own lists to organize personal tasks beyond what Planner assigns you.

  1. Click + New list in the left sidebar.
  2. Name it (e.g., "Personal Reminders," "Truck Checklist," "Training To-Do").
  3. Add tasks to it as needed.
Everyone
Custom lists are personal -- only you can see them. "Assigned to me" tasks from Planner stay in their own section and don't mix with your personal lists.

Due Dates & Reminders

To Do has built-in views to help you stay on top of deadlines:

View What It Shows
My Day What you've chosen to focus on today
Important Tasks you've starred / marked as important
Planned All tasks with due dates, sorted chronologically
Assigned to me Everything from Planner
Everyone
Check Planned regularly to see what's coming up this week. Overdue tasks show in red.

Why Use To Do?

Tip
To Do is the simplest app for drivers. If you only want to check one app to see what you've been assigned and when it's due, this is it. No boards, no channels -- just your list. Planner tasks flow into it automatically.
