Understanding Microsoft To Do

Microsoft To Do gives every team member a single, simple list of everything assigned to them -- including Planner tasks. Think of it as your personal "what do I need to do?" checklist.

See All Your Assigned Work

Everyone
  1. Open Microsoft To Do.
  2. Sign in with your work email if prompted.
  3. Tap the hamburger menu (top-left) to open the sidebar, then tap Assigned to me.
  4. All Planner tasks assigned to you show up here with due dates and priority.
  5. Tap any task to see its full details, checklist, and notes.

My Day -- Focus on What Matters Today

My Day is a daily focus list that resets every morning. Use it to plan what you want to tackle today.

  1. Open the sidebar (tap the hamburger menu ☰) and tap My Day.
  2. To add tasks to My Day, tap the lightbulb icon -- To Do will suggest tasks that are due soon or assigned to you.
  3. Or long-press any task from another list and choose Add to My Day.
  4. At the end of the day, anything you didn't complete rolls off My Day (but stays in its original list).

Creating Your Own Tasks

Everyone
Besides Planner assignments, you can create your own personal tasks -- reminders, to-dos, or anything you want to track.

  1. Open Microsoft To Do.
  2. Open the sidebar and tap Tasks (your personal task list).
  3. Tap + Add a task.
  4. Type the task name and tap Done or the checkmark.
  5. Tap the task to add details:
    • Due date -- when it needs to be done
    • Reminder -- get notified at a specific time
    • Notes -- add details or context
    • Steps -- break it into sub-tasks
    • Repeat -- make it recurring (daily, weekly, etc.)

Creating Custom Lists

Create your own lists to stay organized beyond Planner tasks.

  1. Open the sidebar and tap + New list.
  2. Name it (e.g., "Personal Reminders," "Truck Checklist").
  3. Add tasks to it as needed.
Everyone
Custom lists are personal -- only you can see them.

To Do has built-in views to help you stay on top of deadlines:

View What It Shows
My Day What you've chosen to focus on today
Important Tasks you've starred / marked as important
Planned All tasks with due dates, sorted chronologically
Assigned to me Everything from Planner

Check Planned regularly to see what's coming up this week. Overdue tasks show in red.

Why Use To Do?

Tip
To Do is the simplest app for drivers. If you only want to check one app to see what you've been assigned and when it's due, this is it. No boards, no channels -- just your list. Planner tasks flow into it automatically.
