Understanding Group vs. Personal Calendars

Key Concept

There are two types of calendars you'll work with in Outlook:

  • Group calendars (On Call Schedule, Time Off Schedule) -- shared with the entire group. Every member can see these events. Managers create events here; drivers view them. Think of these as the official company schedule boards.
  • Your personal calendar -- only you can see it unless you invite someone. Use this for one-on-one meetings, reminders, or anything that doesn't need to be on the shared schedule.

When you create an event on a group calendar, every group member can see it automatically -- you don't need to invite them individually. When you create a personal event and add attendees, only those specific people receive the invite.

Permissions Reminder

The On Call Schedule and Time Off Schedule group calendars are locked down. Only managers (group owners) can create, edit, or delete events on those calendars. Drivers can view the schedule but cannot make changes. This prevents accidental edits to the official schedule.

Viewing the Group Calendars

Everyone
  1. Open Outlook.
  2. Tap the Calendar icon at the bottom of the screen.
  3. Tap the hamburger menu (top-left corner) or the calendar name at the top to open the calendar list.
  4. Under Groups, check the box next to On Call Schedule and Time Off Schedule.
  5. Go back to the calendar view. Group events now appear alongside your personal calendar, color-coded so you can tell them apart.

Each group calendar gets its own color. You can tap between Day, 3-Day, and Month views using the tabs at the top of the calendar.

Subscribing So Events Show Automatically

Everyone

By default, group events might not send you push notifications. To make sure you get alerts:

  1. Open Outlook and go to Calendar.
  2. Tap the hamburger menu to open the calendar list.
  3. Find On Call Schedule under Groups.
  4. If there's a Subscribe or Follow option, tap it. This tells Outlook to copy group events to your personal calendar and send notifications.
  5. Repeat for Time Off Schedule.
Tip

If you don't see a subscribe option, the group events will still appear on your calendar view -- you just might not get push notifications for new events. Check the calendar view regularly, or use Teams notifications as a backup.

Group Conversations

Everyone

Each group has a shared conversation thread -- like a group email chain that everyone can see. Use it for announcements, schedule questions, or anything the whole group should know about.

  1. Open Outlook.
  2. Tap the hamburger menu (top-left corner).
  3. Scroll down and tap Groups.
  4. Tap On Call Schedule (or whichever group).
  5. You'll see conversation threads. Tap any thread to read it. Tap Reply or Reply All to respond.
Managers

Starting a new conversation: From the group view, tap the compose icon (pencil or + button). Type your subject and message, then tap Send. Every group member will receive this in their inbox and can reply.

Creating On-Call / Shift Blocks

Managers Only

This is the most common task -- putting a driver's on-call window on the shared schedule.

  1. Open Outlook and tap Calendar.
  2. Tap the + button (floating action button, bottom-right) to create a new event.
  3. Enter a clear title. Include the driver's name and shift window, e.g.:
    "Smith -- On Call 6:00 PM - 6:00 AM" or "Garcia -- Primary 7a-7p"
  4. Set the start date/time and end date/time. For overnight shifts, make sure the end date is the next day.
  5. Tap the Calendar field (it will default to your personal calendar) and switch it to On Call Schedule.
  6. In the description/notes field, add any relevant details:
    • Truck/unit number
    • Coverage area
    • Special instructions
    • Backup driver contact
  7. Tap Save (checkmark icon, top-right).

The event immediately appears on every group member's calendar -- no invites needed.

Creating Time-Off Entries

Managers Only
  1. Open OutlookCalendar → tap the + button.
  2. Title it clearly: "Johnson -- PTO" or "Miller -- Off (Vacation)"
  3. Toggle All day to ON.
  4. Set the start date and end date (for multi-day time off).
  5. Change the calendar from your personal to Time Off Schedule.
  6. Add notes if needed (e.g., "approved 2/28, returns Monday 3/16").
  7. Tap Save.

All-Day vs. Timed Events

Key Concept

When creating any event, you'll see an All day toggle:

  • All day ON -- the event spans the full day (or multiple days). It shows as a banner at the top of the calendar. Best for: PTO, holidays, multi-day coverage, training days.
  • All day OFF -- you set specific start/end times. It shows as a time block on the calendar. Best for: on-call shifts with specific hours, meetings, calls.

For a 12-hour on-call shift, turn All day OFF and set the exact hours (e.g., 6:00 PM to 6:00 AM). For a full day off, turn All day ON.

Recurring Events

Managers

If a driver works the same shift every week, you don't have to create the event every single time. Use recurrence to set it once and let it repeat.

  1. Create the event as normal (title, times, correct group calendar).
  2. Before saving, tap Repeat (you may need to scroll down in the event form).
  3. Choose a pattern:
    • Daily -- every day or every X days
    • Weekly -- e.g., every Monday, Wednesday, Friday
    • Monthly -- e.g., first Monday of every month
  4. Set an end date for the recurrence, or choose "No end date" if the schedule is ongoing.
  5. Tap Done, then Save the event.

To change one instance later (e.g., a swap), tap that specific event and choose Edit this event (not "Edit all events in the series").

Heads Up

Be careful with "Edit all events in the series" -- that changes every past and future occurrence. If a driver's regular shift changes starting next month, it's safer to end the old recurring event and create a new one starting on the new date.

Personal Meetings & Teams Video Calls

Managers

For meetings with specific people (not the whole group), create a personal calendar event and invite them. This is different from a group calendar event.

  1. Open OutlookCalendar → tap the + button.
  2. Leave the calendar set to your personal calendar (do NOT switch to a group calendar).
  3. Enter the meeting title.
  4. Tap Add people and search for attendees by name or email. Add as many as needed.
  5. Toggle Teams meeting to ON if you want a video/audio call link automatically included in the invite.
  6. Set the date, time, and location (or leave location blank if it's Teams-only).
  7. Add any agenda or notes in the description.
  8. Tap Send (top-right). Each attendee gets a calendar invite they can accept or decline. If Teams meeting was on, the invite includes a join link.
Everyone

Joining a Teams meeting from an invite: When you receive a meeting invite with a Teams link, just open the event on your calendar and tap Join (or tap the Teams meeting link). The Teams app will open and connect you.

Editing & Deleting Events

Managers Only
  1. Open OutlookCalendar.
  2. Tap the event you want to change.
  3. To edit: tap the pencil/edit icon. Change the title, time, description, or any other field. Tap Save.
  4. To delete: tap the three-dot menu (top-right), then tap Delete. Confirm when prompted.
  5. For recurring events, you'll be asked whether to edit/delete just this one or the entire series. Pick carefully.
Tip

If you need to move an on-call block to a different driver (a swap), the easiest way is to edit the existing event and change the driver's name in the title and description -- rather than deleting and recreating it. This preserves the time slot and any notes.
